Privacy Policy
This Privacy Policy explains how PhosOps ("PhosOps," "we," "us," or "our") collects, uses, and shares information when you visit phosops.com (the "Site") or use our tools and services, including our online diagnostic and our call-booking flow (together, the "Services").
PhosOps is operated by PhosOps AI, located at 9952 82 St NW, Edmonton, Alberta, Canada T6A 3L8. By using the Site, you agree to this Policy. If you do not agree, please do not use the Site.
1. Information we collect
Information you give us directly. When you use our diagnostic tool, request a report, book a call, or otherwise contact us, you may provide:
- Your name, email address, and (optionally) phone number;
- Business details you enter into our diagnostic or booking forms — for example your role, business or project information, approximate lead volume, average project size, close rate, or other inputs used to generate your result; and
- Any other information you choose to include when you message us or schedule a call.
Information collected automatically. When you visit the Site, we and our analytics providers may automatically collect limited technical and usage data, such as your IP address, device and browser type, pages viewed, referring page, and general interaction data. We use privacy-focused analytics and cookies or similar technologies for this purpose (see Section 5).
We do not knowingly collect sensitive personal information, and we do not collect payment-card details through the Site.
2. How we use information
We use the information we collect to:
- Provide the diagnostic result, report, or other content you request;
- Respond to your inquiries and schedule and conduct calls;
- Send you the materials you asked for and, where permitted, relevant follow-up communications about PhosOps (you can opt out at any time — see Section 7);
- Operate, maintain, secure, and improve the Site and Services;
- Detect, prevent, and address fraud, abuse, or technical issues; and
- Comply with our legal obligations.
We do not use your information for automated decision-making that produces legal or similarly significant effects about you.
3. How we share information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share information only with:
- Service providers that operate our infrastructure and tools on our behalf, under contracts that limit their use of the information to providing services to us — currently Vercel (hosting and privacy-focused analytics), Supabase (secure database storage), Resend (email delivery), Cal.com (scheduling), and Google / Gmail (internal notifications);
- Legal and safety recipients — if required by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of PhosOps, our users, or others; and
- Business transfers — in connection with a merger, acquisition, financing, or sale of assets, where we will require the recipient to honor this Policy.
4. Where your information is processed
Our service providers may store and process information in the United States and other countries. If you are located outside those countries, your information may be transferred to and processed in a country with different data-protection laws than your own. We take steps to ensure such transfers are handled consistently with this Policy and applicable law.
5. Cookies and analytics
The Site uses cookies and similar technologies, and privacy-focused analytics (Vercel Analytics and Vercel Speed Insights), to understand how the Site is used and to improve performance. You can control cookies through your browser settings; disabling them may affect some functionality. We do not use third-party advertising cookies.
6. Data retention
We keep personal information only as long as needed for the purposes described in this Policy — to provide the Services, maintain our business records, and meet legal, accounting, or reporting requirements — after which we delete or anonymize it. You may request deletion as described in Section 8.
7. Marketing communications
If we send you marketing or follow-up emails, every message includes an unsubscribe link, and we honor opt-out requests promptly. You can also email us at ayden@phosops.com to opt out. We will still send transactional messages necessary to respond to your requests (for example, confirming a booked call).
8. Your privacy rights
Depending on where you live, you may have rights regarding your personal information, including the right to:
- Access the personal information we hold about you;
- Correct inaccurate information;
- Delete your information;
- Opt out of marketing communications and of any "sale" or "sharing" of personal information (we do not sell or share it); and
- Withdraw consent where processing is based on consent.
To exercise any of these rights, email us at ayden@phosops.com. We will respond within the timeframe required by applicable law and will not discriminate against you for exercising your rights. If you are in a jurisdiction with a supervisory authority (for example, a provincial Privacy Commissioner or a U.S. state regulator), you may also have the right to lodge a complaint with them.
9. Security
We use reasonable administrative, technical, and organizational measures designed to protect personal information, including hosting on reputable infrastructure providers and restricting access. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
10. Children's privacy
The Site and Services are intended for businesses and are not directed to children. We do not knowingly collect personal information from anyone under the age of 16. If you believe a child has provided us information, contact us and we will delete it.
11. Third-party links
The Site may link to third-party websites or tools (such as our scheduling provider). We are not responsible for the privacy practices of those third parties; their policies govern your use of their services.
12. Changes to this Policy
We may update this Policy from time to time. When we do, we will revise the "Effective date" above and, for material changes, take additional steps as required by law. Your continued use of the Site after changes take effect means you accept the updated Policy.
